Summary
The Executive Assistant to the Tax Department Head provides high‑level, strategic administrative and operational support that enables the Tax Department to run smoothly and effectively. This role requires a proactive professional who can manage complex responsibilities, exercise independent judgment, and serve as a trusted partner to senior leadership.
The ideal candidate is organized, detail‑oriented, comfortable navigating confidential information, and skilled at anticipating the needs of a fast‑moving partner group. This position regularly interacts with partners, clients, and internal teams, and plays a critical role in advancing departmental priorities, coordinating initiatives, and ensuring the Tax Department Head can operate at maximum effectiveness.
Responsibilities
Executive Support and Strategic Prioritization
- Manages the Tax Department Head’s calendar, inbox, scheduling priorities, and day-to-day workflow with minimal oversight.
- Evaluates, prioritizes, and triages incoming issues, requests, and communications, determining which require leadership attention and which can be handled independently.
- Exercises discretion and independent judgment in coordinating sensitive matters and managing confidential information.
- Prepares the Tax Department Head for daily activities through briefings, materials, timelines, and proactive planning.
Partner and Department Coordination
- Serves as primary liaison among the Tax Department Head, Tax partners, Firm leadership, staff, and clients.
- Coordinates department-wide communications, ensuring timely distribution of updates, expectations, and follow-up on outstanding items.
- Supports departmental oversight by tracking initiatives, monitoring progress, and ensuring action items are completed.
- May provide support to additional Tax partners as needed.
Meeting Leadership and Documentation
- Leads preparation for internal and external meetings including agendas, materials, presentations, and briefing notes.
- Records, synthesizes, and distributes meeting minutes including key decisions, deadlines, and action items.
- Anticipates upcoming departmental cycles (busy season preparedness, billing cycles, compliance deadlines, training schedules) and ensures meetings, communications, and deliverables are aligned.
Project & Operations Support
- Oversees department-level projects and initiatives as delegated by the Tax Department Head, ensuring tasks move forward and stakeholders are held accountable.
- Conducts research, compiles data, and drafts professional documents including reports, client communications, department updates, and operational summaries.
- Supports continuous improvement efforts by organizing processes, identifying inefficiencies, and proposing operational enhancements.
Client & Internal Communication
- Responds professionally and accurately to inquiries from clients, staff, and external contacts on behalf of the Tax Department Head.
- Drafts, reviews, and manages correspondence, agreements, memos, reports, and presentation materials with a high level of polish.
- Represents the Tax Department Head in communications when appropriate.
Administrative & Logistical Management
- Coordinates travel, events, and meeting logistics.
- Prepares and submits expense reports and reconciliations.
- Oversees mail, records, files, and document organization for the Tax Department.
- Ensures systems, schedules, files, and workflows remain organized and up to date.
Qualifications and Education
- Associate’s degree (A.A.) or equivalent and a minimum of four years of related experience.
- Ability to maintain total confidentiality concerning Firm and client matters.
- Proficiency with Microsoft Office programs, especially Excel, Word and Outlook. A working knowledge of accounting software programs is preferred.
- Excellent written, proofreading, problem solving, and oral communication skills.
- Applicants must be currently authorized to work in the United States on a full-time basis.
Physical Demands
- Required to sit for long periods.
- Extensive computer, keyboard, and mouse use.
- Occasionally required to lift and/or move up to 25 pounds.

Salary Range: $60,000 – $70,000
The stated salary range reflects the compensation for this position at the time of posting. Final offers will be determined by the candidate’s qualifications, experience, and location.
