Summary

The Administrative Assistant II plays a vital role in providing critical administrative support throughout the year,
with a particular focus during tax season. Working under moderate supervision, the individuals in this role have attained, or are gaining, full proficiency in the firm’s core administrative processes and tools. This role ensures timely and accurate tax filings, maintains organized records, and supports the overall efficiency of the tax and administrative departments. The role is entrusted with maintaining strict confidentiality regarding Firm and Client matters, ensuring the highest level of trust and integrity in all tasks, and significantly contributes to the firm’s operations and continued success.

Responsibilities

Front Desk

  • Receives, posts, and distributes mail and faxes, coordinating courier or specialty mail services as

  • Orders and manages inventory of office supplies, kitchen supplies, beverages, and

  • Provides relief and support for primary reception staff, especially during busy

Administrative Support

  • Processes incoming tax documents for clients by sorting and preparing files for scanning.

  • Uses tax preparation software to conduct front-end verification of tax files.

  • Assists with scanning and filing documents to maintain organized records.

  • Sends tax returns and 1099 forms through e-file systems and follows up on acknowledgments.

  • Assists with the preparation and distribution of engagement letters and tax organizers.

  • Monitors due dates for client tax returns and projects, ensuring timely follow-up.

  • Maintains accurate and up-to-date client records, including contact information and communication preferences.

  • Orders celebration and memorial gifts for clients.

  • Backs up new client setup and project setup as required.

  • Supports partners with various administrative tasks as requested.

  • May support assembly of tax returns for paper or electronic distribution to clients.

Qualifications and Education

  • Associate’s degree (A.A.) or equivalent from a two-year college or technical school and a minimum of two (2) years of related administrative experience, or an equivalent combination of education and experience.

  • Proficiency with Microsoft Office programs, especially Word and Outlook. Experience and knowledge of accounting software programs such as Karbon, UltraTax, Engagement Manager, and GoFileRoom preferred.

  • Organizational skills with the ability to prioritize work assignments.

  • Excellent written, proofreading, problem solving, and oral communication skills.

  • Applicants must be currently authorized to work in the United States on a full-time basis.

Physical Demands

  • Required to sit for long periods.

  • Extensive computer, keyboard, and mouse use.

  • Occasionally required to lift and/or move up to 25 pounds.

Salary Range: $26-$28 per hour

The stated salary range reflects compensation for this position at the time of posting. Final offers will be determined by the candidate’s qualifications, experience, and location.
